General Information

Venue

The XVI International Symposium on Very High Energy Cosmic Ray Interactions will be held at Fermi National Accelerator Laboratory (Fermilab) in Batavia, Illinois. Fermilab is located approximately 35 miles (56.35km) west of Chicago, on 6,800 acres of former Midwest farm land. The weather during the summer can be quite warm and humid. There is very limited public transportation in the area surrounding Fermilab, so a rental car or the use of the free shuttle-bus service between Pheasant Run Resort and Fermilab is necessary.


Accommodations

A block of rooms has been reserved at the Pheasant Run Resort at the reduced rate of $95 per night plus 11% tax for a King Room or a Double Room. This is the only hotel from which shuttle-bus service to Fermilab will be provided.

The Resort is located approximately 8 miles (13 km) from Fermilab. Note that the Resort does not have shuttle service to area airports. You can get to the Resort by either rental car or limousine (see the Transportation information on this page).

Reservations must be made directly with the Resort via internet or telephone as indicated below.

Reservations via Telephone: Call 630-584-6300 or 1-800-4-PHEASANT (1-800-474-3272) and ask for the Fermilab International Symposium on Very High Cosmic Ray Interactions--ISVHECRI 2010 Room Block, with the group booking code of "062510FER".

Room reservations must be made by May 30, 2010. Reservations received after that date will be on a space and rate available basis only. The Resort will honor the Symposium rate two days prior to and two dates after the Symposium only for attendees and guests utilizing the pre- and post- meeting days continuous with and contiguous to the days of the Symposium. Please note that these additional days outside the time of the Sympsoium may be limited by availability.

The Resort requires one night's deposit (cost of room plus 11% tax) in order to guarantee the reservation. These deposits are due at the time the reservation is made.


Social Event

A dinner is being planned for Thursday evening, July 1, 2010. Tickets ($40 per person) are available for purchase when you register as well as at the Secretariat when you check in. Tickets must be purchased by 9 am Wedensday, June 30, 2010.


Transportation

As mentioned above, shuttle-bus service will be provided for participants from the Pheasant Run Resort to Fermilab and return on a daily basis (am and pm shuttle, no lunch shuttle). Transportation to and from Chicago O'Hare and Midway airports to the Resort is available by limousine, rental car, or taxi. There is no bus service or public transportation from O'Hare International Airport or Midway Airport to the Resort and taxi service is very costly.

Car Rental:

Limousine Service:

Reservations for limousine service should be made in advance when possible. The Resort has a special contracted rate for their guests with A-1 Limousine.   A-1 Limousine offers both shared car (starting at $45 plus gratuity for one person, each additional person is $8) and private car (starting $61 plus gratuity for one person, each additional person is $8) rates to the Resort. A standard gratuity is 15% of the total cost. If the pickup is between 11:00 PM and 4:30 AM an additional $10.00 off peak hours surcharge will be added.

O'Hare Arrivals:

Please follow these instructions when arriving at O'Hare Airport:

  1. Whether you checked luggage or not, please proceed to the baggage claim level.

  1. Once you have all your luggage, go to any public pay phone on that level and call 1-800-354-5849 (it's toll-free - no change required). Please note: Pay phones at O'Hare are only located near vestibules (doors) 1A, 2A, 3A, and 5E.   Press option 1 to speak with an O'Hare dispatcher.  Please understand that this 800 number is a local number and only works in the Chicago land area. It will not work from out of state or even from an out of state cell phones calling while in this area. If calling from an out-of-area cell phone please dial 630-833-3788 and press option 3.

  1. Our O'Hare dispatcher will ask for your last name and/or confirmation number.

  1. Please have this information ready before you call.

  2. The dispatcher will then tell you what door to go out. To help you find your vehicle, you will be given a description of it along with its license plate number. Please understand that O'Hare regulations require livery vehicles to remain in a holding lot until we have heard from the passenger, so it may take anywhere from 12-15 minutes for the car to reach you. However, if you are taking a shared ride, the vehicle may already be in the terminal picking up other passengers, so pickup would be immediate. For this reason, it is important that you are absolutely ready to leave the airport when you call the 800 number and speak with the O'Hare dispatcher.

  1. When your limousine arrives, please be sure to verify the description of the car and license plate number to make sure you have an A-1 Limousine so that you will be charged the rate quoted.

Midway Arrivals:

Please follow these instructions when arriving at Midway Airport:

  1. Whether you checked luggage or not, please proceed to the baggage claim level.

Visa Information

Foreign nationals visiting Fermilab temporarily to attend workshops, conferences, “schools” or other events usually must enter the U.S. as a “Business Visitor”.  This is done either by entering with a B-1 visa (obtained from a U.S. Consulate) or using the Visa Waiver Program. 

Individuals who want to attend a Fermilab event therefore should read both our information about Business Visits to Fermilab , and follow the guidelines below:

If applying for a B-1 visa, you must book a visa appointment at the consulate in your home country or country of current residence.  During the interview at the Consulate, ask when the visa might be issued.  If the visa will be issued too late to permit attendance at the workshop or conference, explain this, so that the consular officer knows.
